Privacy Policy
WirePitch is a marketplace that routes podcast guests to relevant hosts. This policy describes what information we collect when you use WirePitch, how we use it, who we share it with, and the choices you have. Plain language is the goal; the practices it describes are the same ones the engineering team operates against.
Who we are. WirePitch is a service operated by Kristian Ponsford, based in Austin, Texas. You can reach the operator at privacy@wirepitch.com.
Information we collect
Information you give us
- Account information. Email address, and (if you use Google sign-in) your name and profile photo from your Google account. We do not store your Google password.
- Profile information. If you sign up as a guest, the bio, role, and topic information you enter so we can match you to relevant podcasts. If you sign up as a host, the show(s) you claim and the show metadata you provide or confirm.
- Pitch content. Pitches generated on your behalf, including any edits you make, your approve/skip/regenerate decisions, and the metadata attached to each pitch (which show it targets, fit score, model version, prompt version).
- Payment information. When you purchase a campaign or subscribe, payment is processed by Stripe. We never see or store your card number, CVC, or full bank details. Stripe gives us a customer identifier, the price you paid, and your subscription state.
- Communications. If you email us or reply to a system email, we keep the message so we can respond and improve the service.
Information we collect automatically
- Authentication and session data. Cookies and tokens that keep you signed in, set by our authentication provider (Supabase).
- Server logs. Standard request logs from our hosting provider (Vercel): IP address, user agent, referrer, path, timestamps, and error traces. Used for operating and securing the service.
Information we generate from your input
- Embeddings.Your guest bio is sent to OpenAI to produce a numeric vector (an embedding) that we store and use to match you against the podcast catalog. The text of your bio stays in our database; OpenAI’s terms describe their own handling.
- Generated pitches.When you create a campaign, your profile and the target show’s public metadata are sent to Anthropic (Claude) to draft pitches. The drafts are returned to us, saved, and shown to you for review.
How we use information
- To create and manage your account.
- To match you to relevant podcasts (guests) or surface relevant inbound pitches (hosts).
- To generate, deliver, and account for pitches.
- To process payments, manage your plan, and send receipts and billing notifications.
- To send transactional email about your account and activity (a new pitch arrives, a host responds, a card needs updating).
- To operate, secure, debug, and improve the service, including investigating abuse.
- To comply with legal obligations and enforce our Terms of Service.
Who we share information with
We do not sell your personal information. We share information with service providers that help us run WirePitch, and only to the extent each provider needs to do its job.
- Supabase — authentication, database, and email delivery for sign-in links. Your account record, profile, and pitches live in a Supabase Postgres database.
- OpenAI — embeddings. Your guest bio text is sent to OpenAI to produce a vector representation.
- Anthropic — pitch generation. Your profile fields and the public metadata of the target show are sent to Claude to draft pitches.
- Stripe — payment processing, subscription management, and tax handling.
- Resend — transactional email (pitch delivery notifications, host decisions, billing notices).
- Google— if you choose Sign in with Google, we use Google’s OAuth to verify your identity. We receive only your basic profile (name, email, profile picture).
- Vercel — application hosting, request routing, and runtime logs.
We may also disclose information if required by law, to protect our rights, to investigate fraud, or in connection with a merger or acquisition (subject to this policy).
Your choices
- Access and export. Email privacy@wirepitch.com to request a copy of the information we hold about you.
- Correction. You can edit your profile from your dashboard. For changes you cannot make yourself, email us.
- Deletion. You can request account deletion at the same address. We will delete your account and associated data within 30 days, except information we are required to retain for legal or accounting reasons (e.g., payment records kept under tax law).
- Email opt-out. Transactional emails are tied to the service and cannot be opted out of while your account is active. Marketing email (if and when we send any) will include an unsubscribe link.
Data retention
We keep your account data while your account is active. After deletion, we retain a minimal record (payment history, anti-fraud signals) only as long as required by law or accounting obligations. Server logs are retained on a rolling basis by our hosting provider.
Security
We use managed providers (Supabase, Stripe, Vercel) whose infrastructure encrypts data in transit and at rest. Access to production data is limited to people who need it to operate the service. No system is perfectly secure; if we learn of a breach affecting your data, we will notify affected users without undue delay.
International transfers
WirePitch is operated from the United States. Our service providers may store and process data in the United States and other countries. If you access WirePitch from outside the United States, you understand that your information will be transferred to and processed there.
Children
WirePitch is intended for use by people who are at least 18 years old. We do not knowingly collect information from children. If you believe a child has provided us information, contact us and we will delete it.
Changes to this policy
We may update this policy from time to time. We will post the new version here with a revised “Last updated” date. If the change is material, we will notify account holders by email before it takes effect.
